Our client – International Mining Company is looking for Process Control and Administration Supervisor
Responsibilities:
- Conducts analysis/audit of department capability Standard Operations Report metrics to identify areas of improvement or opportunity;
- Identifies potential areas for optimization to drive greater speed, quality or saving
- Coordinates with Procurement Management to evaluate project performance and identify issues.
- Monitors and reports on Procurement Department KPIs to ensure that quality standards are met.
- Creates and utilizes assessment tools to ensure Groups areas are compliant with Projects goals/mandate.
- Maintains, audits and reports process discrepancies to the Procurement Manager.
- Develops, maintains and deploys process-training materials.
- Reviews key metrics as established by the Department and reports to the Procurement Manager.
- Writes and translates documents according to departmental requirements.
- Coordinates Document Flow and Control to ensure the effective receipt and distribution of the Groups’ internal and external transmittals. Receives, verifies and records the communications coming to/going from the Groups; coordinates processing of payments for handover to Finance Department
- Coordinates and supports the organization of different Department events and meetings.
- Writes and translates documents as well as receives and distributes documents within the area or within other site areas.
- Provides and distributes office supplies to maintain the Department’s administrative tasks.
- Administers visitor’s pass paperwork, as applicable.
- Administers a documentation control database.
- Issues statistical reports required on a timely basis; receives and processes claims to suppliers.
- Monitors pending tasks agreed to at meetings led by Groups Management.
- Monitors communication, transportation, printing, etc. expenses from the Group.
- Administers document management / filing system of the Department. Keeps documents in hardcopy and electronic files.
- Coordinates travel arrangements for Department personnel.
- Completes daily follow up with procurement agents for communications with suppliers.
- Completes general and specific letters of reply.
- Organizes the various meetings required in the Department and those required by End Users with Department personnel.
- Attracts, develops and retains a highly effective team that provides subject matter guidance and support to the Department
- Makes the overall corporation more effective and efficient, through an understanding of local cultural norms, political and social issues.
- Complies with and practices at all times the values promoted by the Company.
- Supports change and actively sponsors key activities and initiatives.
Requirements:
- Higher education
- 3-5 years of relevant experience within project environment
- Knowledge of all issue related to conducting payments
- Must exhibit outstanding verbal and written communication skills, as well as organizational skills, and deductive reasoning skills
- Knowledge and experience in analysis, reporting, performance measurement, knowledge management, and best practices benchmarking
- Proven proficiency in Microsoft Office Suite including Visio, preference for Oracle experience
- Ability to plan, organize work and maintain policies and procedures.
- Good technical and analytical attitude
- Proven English and Russian communications (presentation and written) skills.
- Possess and demonstrate strong interpersonal skills and pay close attention to details
