Overall Job Function:
- As a Facility Manager your primary responsibility is to manage and maintain the efficient operation of our stores.
- You need to ensure that each store strengthens the brand and secure a great and safe shopping environment for our customers
- You are involved in many different disciplines and play a vital role in the realization of business objectives
- You are coordinating the work of contractors, Area Facility Managers and Area Facility Associates and are setting the strategy, expectations and routines for your department
- You will work in a dynamic environment with strong drive to improve results and customer experience in our stores.
Your main responsibilities are:
- Lead, manage, organize, coordinate and follow-up the work of the contractors directly and through Area Facility Responsibles and Area Facility Associates
- Ensure that repairs and maintenance work are being scheduled, managed and completed in a timely manner, right quality & cost
- Sourcing of new partners trough tenders according to routines of the company and procurement guidelines and establish a good network of contractors
- Critically assess new stores and participate in the Hand Over meetings with Project Managers and Area Facility Managers
- Have a clear overview and documents all assets/equipment including warranty periods
- Maintain negotiate and renegotiate service contracts, renew and cancelled when required
- Ensure that all regular safety checkups requested by law are made in time and documented correctly
- Follow up on monthly store audit visits of the AFR’s and AFA’s and the cleaning service
- Track, document and report energy costs and increase energy savings of the company
- Track progress of service requests, equipment, replacements and costs
- Follow up on all orders and transport materials for up keeping and concept changes
- Ensure compliance with H&M Building Standards and country Security Standards
- Manage relationships with the Landlords and with other public administrative organizations
- Secure knowledge level of the facility team
- Prepare quarterly and yearly budgets and ensure the works are done within the set budgets
- Follow-up on budgets, forecast and actual costs on a monthly base & coordinate differences with Construction Controller
- Code all repairs and maintenance related invoicing and resolves invoicing discrepancies
- Tracking repair expenses and look for cost saving opportunities
- Secure a proper communication between your team, stores and different departments
- Make sure that all information that needs input and coordination is done within the country organization
- Assisting the Construction Manager with refit construction projects & special projects
- Assist with coordinating Support Office support services, i.e. office moves, equipment upgrades, maintenance, etc.
- Oversee offer requests, price proposals and negotiate costs
- Improve efficiency of existing suppliers and contractors
- Track progress of service requests, equipment replacements; coordinate repairs, maintenance and cleaning services
As a person you have:
- Excellent verbal and written communication skills in English and Russian
- Demonstrated knowledge, education and/or experience in the areas of building, maintenance & repairs
- Strong administration, time management, organizational and computer skills (Microsoft Excel, Word, PowerPoint & Outlook)
- Sharp analytical skills with focus on quality
- Plan long term without losing the day to day details
- Strong business senses for retail & maintenance
- Good understanding of store & space design
- Store operations background would be an asset to the position
