The overall aim of the role is to oversee the day to day office based activities relating to business. The role is crucial as to ensure the smooth running of the regional business. The role covers many elements including sales and marketing, financial and administrative management.

Customer Services
- Work with company clients and provide exceptional customer services
- Provide quotations from day to day business enquires
- Processing orders from regular customers
- Creating picklists for orders and ensuring they are accurately and promptly picked, packed and dispatch to the end customer
- Work with third party logistic companies and brokers to coordinate timely delivery of orders to customers
- Ensures customers are regularly informed about the status of orders, delivery times and the availability of goods
- Create and issue pro forma invoices and ensure payments are received prior to shipment date as detailed on the customer order date in IFS.
- Ensure customer contract pricing is up to date and in held IFS
- Manage customer complaints and NCRs, addressing corrective actions where required
- Organise and conduct inventory counts in the warehouse, once per quarter, capturing inventory results into the system as to ensure accuracy of inventory
Finance
- Liaise with customers to ensure payments are received on time and ensure outstanding debt is managed promptly
- Assist in making sure suppliers invoices are received and upload on to IFS and they are paid in a timely manner, keeping the parent company updated on payments
- Review daily financials as to ensure the month sales are on track, report any issues to the finance department
- Produce a monthly spend forecast for the head of department and monitor progress
- Generate payment invoices when goods are shipped from the warehouse
Marketing
- Support in the organisation of exhibitions and events attended by the company
- Provide assistance in translating marketing materials
- Maintaining records of marketing materials, providing data on write-offs in accounting
Other
- Order office supplies, stationary, water, coffee, etc.
