Multinational FMCG is seeking Corporate Events Manager
POSITION SUMMARY STATEMENT
- Full logistics management for all regional events (involving groups of up to 10,000 people) – including; venues, hotels, transportation, entertainment, signage, special events, breakout meetings, registration, shipping and handling.
- Reviewing and negotiating event property and supplier contracts.
- Effectively managing and reconciling event budgets of up to $3 Mil.
- Overseeing the effective procurement of all Event elements (bid process and tender review) and ensuring SOX compliance.
- Risk and Due Diligence Management on all Events
- Creating project plans and critical timelines for Events
- On site Management of all Event logistics
POSITION RESPONSIBILITIES AND EXPECTATIONS
- Complex Project Management of Events for up to 10,000 people from concept to completion – including venue logistics, catering, backstage and office rider requirements, hotels, transportation, special events, breakout meetings, small scale AV requirements, talent, entertainment, registration, signage, deliverables, shipping and handling.
- Managing the site inspection process; identifying appropriate venues, hotels and other Event suppliers, setting appointments, coordinating travel arrangements, preparing the Site Inspection itinerary and managing on-site. Preparation of post Inspection report with recommendations and follow up actions identified.
- Creation of RFP documents and managing the tender process of all Events to ensure SOX compliance. Comparative reviews of tenders and proposals, award of business and accurate documentation of the process throughout each Event. Reviewing and ‘marking up’ of contracts for presentation to Legal for final approval. Concluding agreements and contracts and managing deposit payments pre-event.
- Negotiation of contracts and rates with suppliers to ensure that best value is achieved at all times. Working with Global Event partners in identifying cost saving opportunities for the company when purchasing Events. Maintaining solid relationships with Event partners.
- Develop full logistical plans for each Event including timelines, resource requirements and working documents. Ensure that full and detailed Event briefing packs are distributed to all working Events staff and Executives pre-event.
- Working with international colleagues, Member Event committees or other internal and external stakeholders for Event. Hosting and/or participating in conference calls relating to Events. Preparation of accurate pre-call reading material and follow up material as required.
- Establishing relationships with internal departments responsible for Event due diligence, including - Insurance, Health and Safety, Legal and Risk Assessments – ensuring that all are engaged and appropriate documentation in place before all Events.
- Budget Management pre-event and on-site and budget reconciliation post Event working closely with FP&A. Flagging any anticipated Budget amendments in advance of an Event and managing accordingly. Budget line item maintenance and awareness at all times.
- On-site management of contractors, venues, staff and suppliers.
- Post Event Evaluation - mapping out improvements and plotting a post Event report covering both Members and Staff onsite experience in order to maintain a 'gold standard' for future Events.
POSITION REQUIREMENTS
- Previous demonstrable experience in event management – ideally at international level not less than 5 years (involving large groups of multi-national delegates) working for either an Event agency or in-house Corporate Event team.
- Experience in working with supplier contracts is essential
- Budget responsibility for $1m+
- Experience of managing a team and working within an International environment

- Must be prepared to travel throught Russia and abroad
- Fluent in English (additional languages highly desirable)
- Preparation, cost control of events budget
- Analytical skills, good at working with numbers
- Good Excel knowledge
- Good Power Point experience and presentation skills
