JOB PURPOSE:
- Customer Service Manager is responsible for the organization and control of the entire operational activities of the Customer Service Department in providing transport, logistics, warehousing, agency, product supply and other services in accordance with the standards, policies, procedures and instructions adopted by the Company.
MAIN DUTIES:
- Customer Service Manager:
- Organizes and coordinates all planned and operational work of the Department in accordance with the standards, policies, procedures and instructions adopted by the Company and controls compliance with them.
- Establishes and maintains effective communication with the Company's Clients and ensures that they receive timely and accurate information and answers to their inquiries.
- Organizes and conducts work on receiving Clients' shipping orders for distribution of materials to research sites, as well as for other services within the framework of the Company's activities.
- Organizes and coordinates the effective interaction of the Department's employees with suppliers and contractors, monitors and evaluates their work.
- Ensures timely and accurate issuance of transport and accompanying documentation, controls internal and external document circulation.
- Monitors the material and shipment flows, provides reports in accordance with procedures or at the Client's request.
- Provides effective and efficient solutions to operational issues.
- Provides maintenance of electronic databases, preparation and provision of internal and external reporting.
- Identifies Customer demands and offers the best ways to fulfill them.
- Organizes, maintains and controls the work on calculating tariffs, preparing and sending quotations to Customers.
- Manages costs of third party services, monitors their compliance with the budget.
- Organizes and supports the interaction of the Department with other Company divisions.
- Develops, proposes, coordinates and implements procedures and work instructions pertaining to the activities of his unit.
- Develops, proposes and implements key performance indicators (KPI). Conducts their systematic monitoring and propose measures to improve them.
- Plans, coordinates with the management and implements activities to achieve the quality objectives and the measures to improve the performance indicators.
- Participates in investigation of deviations, collects and makes preliminary analysis of documents, proposes corrective and preventive action plans and ensures their implementation.
- Conducts the documentation flow, manages the archive of the Department (both paper and electronic). Conducts electronic databases of the Department. Collects, processes and analyzes statistical data.
- Conducts employee recruitment, training & development as well as improvement of motivation of the Department staff. Organizes effective interaction within the Department and with employees of other divisions. Ensures efficient backup of functions. Maintains the Department duty roster, approves staff vacation schedules.
- Distributes the work among the employees of own unit. Controls the effectiveness, correctness and timeliness of execution of their tasks.
- Identifies negative factors and potential risks, indicates them in reports to management. Identifies and suggests possible ways to minimize risks and improve operational performance.
- Develops annual, quarterly, monthly, weekly and operational work plans, coordinates them with the plans of partner departments and with his immediate supervisor.
- Provides within the Division the implementation of changes, as well as new technologies, procedures, systems and equipment.
- Performs other instructions from the direct supervisor.
REQUIREMENTS:
- Successful candidate should meet or exceed the following qualification requirements:
- Mandatory qualifications:
- University degree
- Experience in international freight forwarding or express transportation - from 3 years
- Strong leadership and project management skills
- Good organization and communication skills
- Knowledge of quality management systems
- Knowledge of business documentation requirements
- Excellent verbal and written Russian language skills
- Strong verbal and written English skills (min. level Intermediate B1)
- Advanced computer skills in main office and business applications (Excel, Word, PowerPoint, Outlook, internet applications), ERP/CRM
- Additional (preferred) skills:
- Medical or pharmaceutical degree
- Experience in cold chain / pharmaceutical logistics
- Experience in logistics for clinical trials
- Knowledge of the basics of legislation governing logistics in clinical trials, including the Federal Law on the circulation of medicines, the Good distribution practices of medicinal products (GDP), the rules on good clinical practice (GCP), the rules of good manufacturing practices (GMP), etc.
