Airswift is an international consulting company that provides comprehensive HR services for largest international enterprises within various industries (automotive, FMCG, consumer electronics, medical devices etc.).
Currently we are looking for Administrative Director to join one of our clients.
Responsibilities:
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored;
- Identify opportunities for process and office management improvements, and design and implement new systems;
- Coordinates with all departments on the compilation, organization, and issuance of reports/briefings of a complex and varied nature to include the preparation in proper media format for formal presentations;
- Requisitions supplies as required and is responsible for the safekeeping of all files, records and reports;
- Manage relationships with vendors, external contractors and service providers to guarantee all invoices are paid in a timely fashion;
- Maintain a safe and secure working environment;
- Ensuring all utility systems are inspected and in accordance with building and governmental regulations;
- Perform review and analysis of special projects and keep the management properly informed;
- Establishes both short and long term staffing plans for each shared resource;
- Improving business efficiency;
- Requesting audits and analyzing financial data;
- Developing organizational policies;
- Managing administrative budgets;
- Hiring and training administrative staff;
- Negotiating contracts and agreements with vendors;
- Monitoring operating expenses;
- Updating executives on business performance.
Requirements:
- Advanced English knowledge is required;
- Degree in Business Administration or equivalent;
- 5+ years of work experience in an administrative/office management role;
- Must have expert level of knowledge with Microsoft Office; Word, Excel and PowerPoint;
- Considerable experience in financial management preferred;
- Budget management experience;
- Reliable and self-motivated;
- Good communication skills;
- Superior problem solving skills;
- Strong leadership qualities;
- Broad knowledge of business departments and their functions;
- Strategic thinker;
- People-management skills;
- Exceptional organizational skills and attention to detail.
