Western brand trade and production company look for a Customer Service specialist/ Customer Service representative
Tasks:
- Efficiently manage customer orders, enquiries, billing and transportation claims providing best possible level of customer service
- Maximize all sales opportunities.
Requirements:
- Higher education (logistics, customer services, technical, economic)
- Experience as a specialist, customer service manager, sales coordinator in a Western manufacturing company and logistics company
- Experience of data entry, information processing
- Knowledge of relevant software applications (SAP, Sifyb) - compulsory requirement
- Knowledge of customer relationship principles and practices, administrative/clerical procedures in customer services (B2B)
- Ability to analyze and assess problems and find workable solutions
- To be both able and willing to provide excellent service to the customer
- Ability to accurately collect and process information
- Ability to adjust to the situation, patience and stress tolerance
- Ability to communicate effectively with customers and ability to actively listen
- English - advance (сommunication within an international company) - compulsory requirement
Responsibilities:
- Provide sales support and provide the best level of customer service: calls must be covered, orders must be managed and shipped, deal with customer sample requests, manage the phased input/output of new items.
- Organization of daily processes of customer services: order management, order entry, order confirmation/proforma invoice, order portfolio follow up, shipment creation, transport booking, customer enquiries and proactive communication, product availability, lead-times, order status, pricing, price verification, special pricing entering or verifying and applying to the order, claim handling, shortages, damage, pricing adjustments, credit / debit notes / returns
- Complete daily tasks (controlling processes in SAP system) in timely manner and ensure realistic order portfolio: realistic dates order's, delivery due list, create shipment, release orders for billing, list of Incomplete sales orders, maintain billing due list, fill in/update excel files related to measures/customers complaints/administrative matters (MIPs, Complaint Database, Transport non-conformities), billing documents without accounting.
- Transport and logistics: contact an approved carrier to book trucks according to the market business process, provide export and transport documents and proforma invoices when necessary, respecting the capacity of the distribution center, using the loading plan and other capacity tools, avoid creating slow-moving and outdated inventory, communication of canceled orders to planners, communication with external/internal suppliers, (third-party orders/triangulation orders),
- Proactive approach to working with customers and orders to manage load capacity, visit and maintain regular contact with customers as needed
- Liaise with special project coordinators to deliver orders raised, performance specific tasks agreed with department, help from time to time to facilitate new product launches, attend training and sales related meetings as needed
