Role Purpose
Reporting to the Office Manager, the Junior Office Manager is responsible for a diverse set of administrative tasks. The main purpose of this role is to create and maintain a pleasant work environment, ensuring high levels of organisational effectiveness, communication and safety in the Moscow office.
Other responsibilities will include responding to supplier queries and coding invoices in the purchase to pay system (Basware).
Main Responsibilities
Procurement
- Provide support to Wood Mackenzie procurement function on tenders and commercial negotiations with local suppliers
- Establish, build and maintain key vendors relationship
- Raise requisitions and ensure correct invoice coding in the system (Basware, PeopleSoft)
- Be first point of contact for vendor queries
- Raise new vendor requests
- Feed into quarterly/annual budgeting process and provide analysis as required
Office administration
- Be first point of contact for any office-related issues, including office move and repairs
- Monitor and maintain supplies of stationery and equipment
- Ensure relevant local health and safety and data protection legislations are adhered to
- Arrange regular testing for electrical equipment and safety devices
- Assist in travel booking and accurate expense coding (Concur)
- Liaise with other business areas in Edinburgh head office, such as HR, Finance and Facilities to ensure smooth office operations
IT support
- Be first point of contact for any IT related issues
- Raise IT requests and liaise with Technology Department as required
- Liaise with local telecommunications service providers to maintain and improve services
Knowledge & Experience
- Excellent organizational and planning skills
- Excellent problem solving and analytical skills with solid attention to details
- First-class communication skills, both verbal and written
- Proven work experience of performing a similar role within a procurement or finance function
- MS Excel, Word, Outlook, to a proficient level
- Fluent English and Russian
Salary - Net per month between 61,625.00 and 72,500.00 RUB (depending on experience and skills)
