Job Summary:
The Office Manager will oversee the general administrative function and activities of the office; will oversee daily inventory management and logistics functions; assist the general director with his activities, will interact with the company's customers by addressing inquiries and resolving complaints.
Supervisory Responsibilities:
Oversees the daily work activities of the office; may assist with discipline and termination of employees in accordance with company policy.
Duties/Responsibilities:
- Interacts with customers via telephone, email, online chat, or in person to provide support and information on products or services.
- Collects and enters orders for new or additional products or services.
- Fields customer questions and complaints; when the issue is beyond the representative’s knowledge, forwards to the assigned specialist or other appropriate staff.
- Ensures that appropriate actions are taken to resolve customers problems and concerns.
- Maintains customer accounts and records of customer interactions with details of inquiries, complaints, or comments.
- Schedules shipments to ensure delivery by promised deadlines.
- Receives orders and assigns shipments to appropriate carriers.
- Check on needed certifications for all incoming shipments and work with certification agents.
- Resolves delivery problems.
- Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
- Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
- Work and support the general director of the company on his daily activities.
- Maintains inventory of office supplies; orders new supplies as needed.
- Maintains office files; implements an efficient system for other staff to access files and records.
- Performs other related duties as assigned.
Required Skills/Abilities:
- Extensive knowledge of office management procedures.
- Excellent verbal and written communication skills.
- Excellent knowledge of Russian and English (listening, talking, and reading) knowledge of German or Japanese language will be a plus.
- Extensive knowledge of export regulations and procedures.
- Service-oriented and able to resolve customer grievances.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving skills.
- Proficient with Microsoft Office Suite or related software.
Education and Experience:
- High school diploma or equivalent required; Associates degree in office administration or related field preferred.
- At least three years of administrative and clerical experience required.
- Proven certificate of English language
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
