Position: Trade Marketing Support Specialist
Division: Consumer Health
Responsibilities:
- Provides administrative support to the Group, incl. the calendar monitoring, meetings and business trips organizing, checking e-mails, preparing presentations, ordering and providing employees with office supplies, sending IT equipment to the regions (if necessary), Group timesheet maintaining etc.
- Manages and organizes document flow:
- Ensures agreements approving on time, incl. draws up agreements, organizes and controls agreements signing, transfers signed agreements to the Legal department and sends them back to suppliers;
- Ensures timely invoices payments: tracks all closing documents availability, tracks the payment status and informs suppliers of the payment status;
- Receives letters and keeps its registration and accounting;
- Coordinates recalling and destruction process and maintains its document flow according to SOP;
- Creates requests in SmartBuy system, approves them and controls its releasing and sending to suppliers.
- Coordinates POS-materials delivery:
- POSm calculating and its delivery to Sales Force on time for working in the cycle;
- Distribution and movement of materials according to requests of regional employees;
- Materials delivery for federal events and meetings;
- Distribution and delivery of product samples;
- Managing the selected agency to ensure a high level of service organization in accordance with the agreed KPIs.
- Coordinates important visits, organizes meetings, cooperates with other involved departments in meetings arranging.
- Provide thorough support for e-commerce channel development, content development (banners resizing, packshots and hero-images development) and Branquad management.
- Knows and complies with legal and regulatory acts that governing the production, economic and financial-economic activity of the enterprise. Knows and complies with defining priorities for the development of the economy, the pharmaceutical industry and the program of legislative behavior in the company Bayer.
Important to us:
- Higher marketing education (bachelor’s degree and higher);
- 1+ years’ experience in administrative position;
- Advanced PC user: MS Office (Excel, PowerPoint, Outlook);
- English (verbal and written): Upper Intermediate and higher;
- Knowledge of documentation basics and business communication ethics;
- Excellent presentation, communication and organization skills;
- Customer focus;
- Punctuality and self-organization;
- Ability to work in a team.
