Responsibilities:
Team support:
- Provide efficient and timely administrative support to the CREI team members;
- Keep labor timesheets for the CREI team to reflect business travel, sick leaves, vacation, etc. and interact closely with HR Administration Specialist on related issues;
- Provide business travel support for the team;
- Provide support in organizing events and business meetings of the CREI team;
- Provide documentation translation support;
- Provide support to relocation of foreign employees and their family members, as well as further assistance in employees onboarding;
- Provide support in procurement administration procedures, i.e. preparation of specifications for Procurement Department, querying invoices, processing invoices via finance system ERP; maintaining of procurement and invoices database and closing out procurement requests accordingly.
Grant and contracts projects’ administration support:
- Participate in preparation of bidding proposals, applications and tender documentation;
- Support in implementation of the externally and internally funded projects in the Center, including, but not limited to:
- assistance with collecting information and preparation of financial and scientific reports on external and internal projects;
- assistance with initiation and signing of agreements and other related project documentation;
- preparation of various types of project-related paperwork (letters to funding agencies and subcontractors, certificates, statistical data etc.);
- preparation of financial statements for reimbursement of expenses related to external projects funded by the Ministry of Science and Higher Education of Russia through the Federal Treasury of Russia.
General activities’ support:
- Keep the CREI website and mailing groups up to date;
- Participate in the development of presentations and other materials related to projects of the CREI.
Requirements:
- At least 3 years of relevant experience, preferably in international company;
- University degree;
- Basic knowledge of document management/document control, including work with EDMS, ERP;
- Knowledge of • Microsoft Office package (Excel, Power Point, Word, etc.), Visio, Zoom/Skype, ERP (MS Dynamics, SAP, etc), EDMS;
- Basics of working with mailing services, web-site editors and Timepad will be an advantage;
- Strong organizational skills;
- Analytical Skills;
- Good communication skills;
- Fluent English.
