Дополнительные сведения о вакансии: Specialist in personnel records management (HR Assistant)
HR Assistant assists the HR Manager and HR Officer in carrying out administrative work. S/he prepares and updates documents for delivering HR services autonomously, in line with the ICRC’s and delegation’s policies and the applicable laws and regulations.
Function description:
- Prepares new employees’ files, drafting orders, contracts, making entries into workbook.
- Prepares and updates job offers, job descriptions, references, working certificates etc. of resident staff.
- Monitors the novelties in the tax policy of the RF Government and Labour Law issues affecting HR management and reports them to the superior.
- Prepares documents in compliance with internal procedures with the requirements of tax authorities for return of funds overspent for sick pays of employees.
- Assists HR Officer with posting job announcements. Schedules job interviews with support of HR Officer.
- Collects information obligatory for employment of the selected candidature.
- Responsible for digitalization of all HR paper files.
- Maintains archiving of personal files.
- Prepares HR archives for transportation to Head Quarters.
- Keeps up-to-date personnel records.
- Follows up holidays, absences and sick leaves of the resident staff and registers them.
- Responsible for the issue of ICRC ID cards for resident employees.
- Ensures general HR document flow compliance with internal Staff Regulation and Local Labour Code.
- Prepares and registers all documents related to service contracts.
- Prepares and registers personnel documents to Social Security Fund for cost reimbursement.
- Carries out procedures related to local HR practice, taxes and social security.
- Places welcome announcements in the team space.
- Responsible for the updating of school base for mobile employees' children.
- Conducts routine correspondence on behalf of HR Department.
- Ensures timely preparation and distribution of communications for employees on the relevant topics (announcements, new policy implementation etc.).
- Carries out administrative follow-up on HR related issues (conflict management, exit interviews, etc.).
- Provides reporting, statistics upon request to HR team.
- Contributes to creation and implementation of HR policies adapted to the delegation needs and in compliance with the institutional framework in order to respond to the requirements identified among staff, prioritizing those needs to ensure the operational objectives are set.
Required skills:
- Higher education in HR.
- Proven experience and knowledge in Russian HR records management is a must.
- Russian is a native language.
- Good command of spoken and written English (B1/B2).
- Minimum 3 years' experience in a similar position.
- Computer skills (proficiency in MS Office).
- Very good communication skills.
- Proven knowledge of Russian labour law legislation.
- Elementary knowledge of Russian accounting.
- Familiarity with professional networks.
- Excellent organizational, time-management and teamwork skill.
- Accuracy.
Terms and conditions:
- Service contract till the end of 2022 with possibility of extension and conversion to full-time indefinite employment contract from January 2023.
- Place of assignment: Moscow, m. Prospect Mira.
- Monthly salary 110’000 RUB before taxes (under open-ended contract), 13th salary, medical insurance.
