We are seeking a highly motivated and experienced Head of Administration to lead our administrative functions and ensure the smooth operation of our office facilities. The successful candidate will play a crucial role in supporting our fast-paced organization, overseeing a range of administrative tasks to enhance efficiency and effectiveness.
Key Responsibilities:
- Office Facilities Management: Oversee the maintenance, security, and day-to-day operations of our office facilities, ensuring a safe and productive work environment. Supervise cleaning crew and cleanliness of office space. Coordinate office space planning, maintenance and renovations. Develop and align real estate strategy with local management and corporate real estate team.
- Fleet Management: Manage the company’s fleet of vehicles, ensuring they are well-maintained, insured, and compliant with all regulations.
- Administrative Support: Provide leadership and direction to the administrative team, ensuring they are well-trained, motivated, and equipped to support the various departments effectively.
- Vendor Management: Negotiate and manage contracts with external vendors and service providers to ensure cost-effectiveness and high-quality services.
- Budget Management: Develop and manage the budget for the administrative department, ensuring optimal allocation of resources. Cost control.
- Policy Development: Develop and implement administrative policies and procedures, ensuring legal compliance and company standards.
- Continuous Improvement: Identify opportunities for process improvement and implement changes to enhance efficiency and effectiveness.
Qualifications:
- Bachelor’s degree in Business Administration or a related field.
- A minimum of 5 years of experience in an administrative leadership role, preferably in a consumer healthcare or FMCG company.
- Strong leadership and management skills, with the ability to lead and motivate a team.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficient in Microsoft Office and other administrative software.
- Knowledge of office facilities management and fleet management.
- Ability to work under pressure and meet tight deadlines.
- Proficiency in English, both written and spoken, is essential.
