Fixed-term contract during the maternity leave period
Responsibilities:
Work with Finance:
- Maintenance of contractual work and payment process with contractors (law firms, notaries, legal system providers, translation bureaus, etc.) – PO creation, approvals, re-issuing invoices, preparing financial documents;
- Maintenance of Register of invoices of Legal Department;
- Execution of the manager’s expense reports/advance reports;
- Negotiation with contractors and Finance Department regarding all problems during payment process, solving problems.
Work with documents and operational support:
- PoAs execution, maintaining PoAs register;
- Keeping a register of correspondence with the state authorities;
- Supporting development Template Agreements, keeping Template Agreements regularly updated, managing the staff requests on Template Agreements usage;
- Coordination and taking part in execution of ad hoc cross-functional compliance projects (including control, follow-up, maintenance tasks);
- Execution of tasks related to RUC training’s program (admin support of e-learning system, training submission and training statistic providing on a regular basis);
- Admin support of MAP and Fair Pay systems (including, update, access and training providing, MAP incident tracking and MAP Security lead role);
- EDD Renewal tracking and notifying business owners of required renewal process (incl. interactions with Bos, Purchasing colleagues and statistic preparation);
- Maintenance of follow-up matrix on all OEC actions/activities/trainings/documents in Russia and CIS;
- Tracking new requirements, legislation trends and enforcement practice in compliance area;
- Drafting the slide-decks (trainings for employees) by request of the manager;
- Regular updating of Legal&Compliance's Intranet page;
- Translations (policies, contracts, slides);
- Technical support (scanning, copying, archiving).
Travel support, other:
- Business trips support (ad-hoc);
- Organization and coordination of meetings, booking conference rooms, and Minutes note taker, technical support of trainings and video-recording;
- Office supplies.
Requirements:
- Legal Master/ Specialty graduate or last years student;
- English language: at least equal to Intermediate;
- Ability to maintain confidentiality and trust around sensitive compliance/legal issues;
- Excellent ability to self-proactiveness, self-organization, prioritization the tasks (the role is complex);
- The capability to flex communication style;
- Excellent ability to be open and approachable.
