Responsibilities:
- Facility Management. Management of 12 people: office managers, receptionists, coffee ladies, technicians, handyman, flower lady;
- Negotiate with building management and vendors for all facilities issues, manage relationship with Landlord;
- Work with contractors, understanding of offer detailing;
- Organize relocation inside the office or to the new office if necessary, space placement (seating, planning, moves, furniture, etc.);
- Supervision of reconstructions if necessary;
- Keep maintenance of office areas and equipment, housekeeping of office facilities;
- Negotiate the purchase of office supplies and furniture, office equipment, food and water supply etc., in accordance with company purchasing policies and budgetary restrictions;
- Supervise corporate car parking;
- Administrative support to company expatriates;
- Organize team building activities (big and small corporate events);
- Prepare Admin Annual business plan & budget. Expense updates. Brining saving ideas;
- Develop internal processes to enhance efficiency of back office function;
- Daily correspondence with Finance team submitting bills and invoices;
- Supervise taxi arrangements, reception duties, courier’s deliveries;
- Supervise mobile management (incl. SIM cards issuance & blocking, tariff plans & options, investigation with Mobile Operator, support to Employees);
- Warehouse control;
- Responsible for Office Health and Safety. Supervise the security video system. Carrying out internal investigations;
- Recruitment of staff if necessary;
- Participating in social & environment projects;
- Be a leader for Fire & Electric safety;
- Interaction with supervisory authorities;
- Participate as needed in special department projects;
- Other duties as assigned.
Requirements;
- Higher education
- Work experience as Administrative Manager in a large structured company from 3 years
- Upper-intermediate English
- Proficient in Microsoft Office (Word, PowerPoint, Excel)
- Strong negotiation skills
- Proven efficient people management skills
- Strong organizational skills and attention to detail
- Ability to multi-task in a fast paced environment
- Ability to work independently
- Very strong responsibility level
- Excellent written and verbal communication skills
- Ability to remain calm under pressure
- Creative ideas to help with office wellbeing
- SAP user
