As a global specialist in energy management with operations in more than 100 countries, Schneider Electric offers integrated solutions across multiple market segments, including leadership positions in Utilities & Infrastructures, Industries & Machine Manufacturers, Non-residential Buildings, Data Centres & Networks and in Residential.
Responsibilities:
- Manage and optimize BU Director agenda and daily activities;
- Organize various events and meetings/calls: internal business meetings, team-buildings, external meetings with customers/partners, interviews etc.:
- Selecting right venue in light of event characteristics (participants, time & purpose);
- Evaluating the need of outside resources (events agency, temporary person);
- Proposing and monitoring event budget;
- Managing the logistics (invitation, registration, catering, AV, meeting room setup);
- Ensuring onsite support;
- Ensuring meeting materials requested are provide;
- Arrange travel, own expense reports for BU Director and BU Lead Team;
- Participate in meetings’ content preparation by:
- Reviewing and proposing a meeting agenda;
- Ensuring speakers availability and attendance;
- Ensuring that slide decks are finalized on time;
- Verify coherence of slides;
- Escalate incoherence in logical flow & duplications;
- Template harmonization;
- Keeping notes;
- Ensure continuous improvement of events organization by providing post-mortem analysis to meeting owner:
- Evaluation form/survey consolidation;
- Seeking oral feedback;
- Review meeting results with vendors (hotel, agency, etc.);
- Ensure smooth invoicing process:
- Reviewing open POs and if necessary following up with vendors/manager;
- Ensure rigorous follow-up on all projects and requests;
- Centralize information (org charts, planning memos, presentations, events calendar, etc.);
- Initiate and drive positive team spirit (birthdays, cultural events, team buildings);
- Translations;
- BU facilities management;
- Support for BU operations (events calendar, support in budget management, marketing events and other activities).
Requirements:
- University degree from recognized institution;
- 1+ years’ experience in AA/Secretary position in international business environment;
- Project management skills;
- Knowledge of Microsoft Windows and Microsoft Office products (advanced user);
- Strong communication and presentation skills;
- Strong skills in handling business correspondence and filing;
- Fluency in English is mandatory (both written and oral).
