Key Job functions:
- Administrative PA functions - READINESS TO BE ON CALL 24/7:
- GM travel support: booking flights, hotels, taxi, car rental for GM (his family members) in accordance with the internal & global directives.
- Coordinate driver support for GM.
- Expense reports: Preparation of GM’s expense reports, arranging the advanced reports to the accounting office in due time & in accordance with the internal & global directives, regulations & procedures.
- Support of visits of GM’s business partners, Head Quarter visitors, including visa support, taxi/driver, hotel accommodation, in accordance with the internal & global directives.
- Calendar & Meetings: Coordinating meetings/visits for GM and keeping GM’s schedule -arranging & following up meetings, conference calls, management meetings. Keeping of minutes. Control calendar update and coordination according to tasks, meetings, conferences, travel, birthday list, etc.
- GM’s administrative support in preparation of Board and Strategic Meetings.
- GM Mailings (NY etc.), incl. mailing list update.
- GM’s flat accommodation: work with the landlord in case of necessity. Looking for the new premises if required in cooperation with the Procurement Manager.
- Responsible for the arrangement of GM’s work permit, working visa, including the corresponding quota. Monitoring that they are valid, work with the authorized agency. Together with Office manager hold tenders for prolongation of the service in due time & in accordance with company’s rules, regulations & directives.
- Responsible for holding the tenders related to the job function in accordance with the internal & global directives, procedures.
- Contact person for Company's membership Associations.
- Support in compliant administrative GM office work.
- Coordination signature maps/letters.
- Support in administrative IT and Phone function of GM office.
- Performing other business tasks of GM.
- Administrative Office Support functions (Office Manager back-up):
- Distribution of incoming calls to the office. Taking notes & informing employees on the call he/she has when the employee was out of office.
- Meeting company’s guests, taking care, incl. offering tea/coffee, informing the corresponding employee.
- Support Office Manager in work with couriers (registration of incoming/outgoing correspondence, internal post boxes distribution, sending correspondence as per requests of employees), monitor office situation, incl. kitchen supplies & food; water, arranging corresponding services for office/reception cleaning, technical support in arrangement of meetings & conferences for the company’s management, including ordering catering, interchangeable with office manager in case of non-presence.
Requirements:
- Higher Education;
- English-fluent (additional knowledge of German is a plus);
- Experience of work on the same position with expat - 1 year minimum;
- PC: advanced user: MS Office, Lotus Notes, Internet.
- Personal skills: stress resistant, multitasking, target orientated, structured, good time management skills, tactful, reliable. Communicative, cooperative, positive thinking. Ability to work with big volumes of information, to make decisions & take responsibility. Ability to follow subordination & report to other people.
Conditions:
- Direct report to Managing Director (expat - German)
- Working hours from 9 a.m. till 6 p.m. (phone access for GM 24/7)
