Responsibilities:
Office - management
- Provide the office with necessary office supplies and equipment within approved budget;
- Assign team rooms on weekly basis;
- Communicate with suppliers and service providers within the area of responsibility (catering, supplies, food, office/kitchen equipment, white goods, furniture etc.) including market analysis, negotiations, research cost saving opportunities, service level control, handling complaints to ensure that quality issues are quickly addressed and resolved;
- Coordinate and supervise office services, ensure efficient in-house communication, liaise with other departments to ensure that service level requirements are met.
Reception
- Provide support and assistance of the highest quality to the company requests at reception area;
- Distribute incoming calls in a timely manner;
- Accept and distribute messages when required within departments;
- Accept / distribute internal / external mail;
- Keep perfect order at the reception area and order stationery for the office;
Travel support
- Communicate with travel agency;
- Book hotels, taxi;
- Prepare business-trip orders;
Other duties
- Support Training manager in internal trainings for employees;
- Support Business assistant in ad-hoc queries;
- To participate in preparation of internal corporate events;
Professional requirements: - At least one year+ of experience as an Office manager assistant/Reception or Administration Assistance;
- Proven ability to manage all aspects for executive level support and travel;
- Proficient computer skills and in-depth knowledge of relevant software such as MS Office;
- Knowledge of standard office administrative practices and procedures;
- Must be extremely detail oriented with an ability to be productive under stressful deadlines;
- Must exhibit high level of flexibility and analytical skills;
- Must exhibit high level of professionalism and confidentiality
- Sound reasoning abilities coupled with problem-solving skills, to know when to escalate an issue before it becomes critical;
- Must have strong organizational and planning skills;
- Must have information gathering and monitoring skills;
- English - intermediate/upper-intermediate
