PRIMARY DUTIES & RESPONSIBILITIES
The following items are the key functions of the position and apply to service operations in all states:
- Supporting the external sales force by processing requests for quotes in a timely manner utilizing the CRM software and USA product item codes
- Liaise with clients to arrange timely delivery of equipment – send purchase order and details of inventory usage to outside accounting firm on the same day for recording
- Ensuring receipt of tools from the USA office is organized and paperwork is sent to outside firm for proper recording in books
- Day to Day support of our client base – answering calls and queries, delivering first class service
- Maintaining accurate stock control – ensuring all rental, demo and sales stock is tracked including returns of rental and other tools after authorization by sales director
- Process rental orders for customers – send backup documentation (purchase order, customer details) to outside accounting firm when rental has been sent out for billing to customer
- Sourcing and preparing paperwork for product demonstrations
- Obtaining purchase orders from clients to align with sale and rental quotations
- Running credit checks on new customers with the USA office prior to order processing
- Coordination of tools to be dispatched from the company premises – ensuring that all movement of tools is provided timely to outside accounting firm and recorded accordingly
- Providing overall administrative support to the Sales Manager including the submission of documents to accounting firm

SECONDARY DUTIES & RESPONSIBILITIES
The following items while not be a primary responsibility, but will form part of the broader role:
- Active involvement in the ongoing compliance ISO 9001:2015
- Assisting with stock control – participation on cycle counting, year end stock take, reconciling the inventory stock count to the listing in the books – identifying discrepancies to USA accounting
- Contributing to the continual improvement of the sales administration department
- Some interstate travel may be required from time to time
SKILLS & ATTRIBUTES
ESSENTIAL
- Experience with MYOB/ SAP or equivalent operating systems
- Minimum 3 years’ experience in a busy sales administration environment
- Solid understanding of quoting, invoicing and basic business practise
- The ability to support sales personnel and communicate effectively across various mediums from email to phone and via scheduling systems
- Great attention to detail and the ability to work under pressure to tight deadlines
- Great computer literacy including use of word, excel, outlook
- An ability to prioritise jobs and the flexibility to multitask
- Excellent customer service and interpersonal skills
- Self-motivated and a CAN DO attitude
DESIRABLE
- Exposure to a mechanical workshop environment would be advantageous
