Role Description:
We are seeking a highly organized and proactive individual to join our team as a Personal Assistant to AGS FOODS Founder. In this role, you will provide comprehensive personal and business support to the Founder as well as contribute to the smooth operation of the company head office in Dubai.
Personal assistance to the Founder and his family will build up 70% of your job assignments, the other 30% would be about assistance with business tasks, office maintenance and helping remote team members on specific tasks that require physical presence in Dubai, such as notary visit, etc.
To succeed in the role you need to have a proven experience in similar position, be ready for extended working hours, occasional work on weekends and being always online and connected.
Responsibilities:
- Provide personal assistance to the founder and their family, including managing household tasks, scheduling personal appointments, and coordinating family events or activities
- Manage the founder's calendar, appointments, and travel arrangements
- Conduct research and gather information for meetings and projects, find necessary providers, arranging deliveries, payments, etc.
- Provide hospitality support, such as arranging accommodations, transportation, and dining reservations for the founder and his guests
- Handle confidential and sensitive information with discretion
- Act as a liaison between the founder and internal/external stakeholders - for documents signature, notary visits, etc.
- Prepare and organize documents, reports, and presentations upon founder request
- Take responsibility for Dubai office maintenance and ensure a clean and organized working environment
- Coordinate with vendors and service providers for office repairs, maintenance and supplies
- Troubleshoot and address any office-related issues or concerns
- Assist with translation and interpretation during meetings or events, if needed
- Occasionally assist in organizing and coordinating company events and meetings in Dubai
- Occasionally support remote team members in tasks that require physical presence in Dubai, such as collecting documentation or coordinating with local authorities - mostly Legal team
Qualifications:
- Proven experience as a Personal Assistant to top manager or founder
- Excellent organizational and time management skills
- Strong communication and interpersonal abilities
- Proficiency in English and fluent Russian
- Proficient in using productivity tools and software
- Ability to multitask and prioritize effectively
- Attention to detail and problem-solving skills
- Current location in Dubai would be an advantage
