Mission:
Provide a liaison between the company and its customers for any request related to the HT&P products for Eurasia as well as take all necessary initiatives to ensure compliance to customer needs and customer satisfaction.
Organize optimally the transport of all materials, while reducing costs & deadlines and respecting internal procedures & clients’ preferences.
Accountabilities:
Preparation of offers on time and according to clients’ specifications (50%):
Tasks:
- Receives and processes client requests in a timely manner,
- Analyzes the request from a technical point of view, with the help of the Sales Engineers & the centre of excellence if needed,
- Determines the price based on the price list, sends a request for quotation to the centre of excellence for price confirmation or correction,
- Liaises with the centre of excellence to review client specifications and draw plans,
- Estimates the transport costs based on estimated weight and dimension with the help of the Traffic department,
- Determines all aspects of the offer including deadlines, incoterms, payment terms by referring to the sales team and/or the centre of excellence,
- Prepares all documents to be included in the offer like certificates, bank guarantees, tender docs, etc.,
- Organizes and updates all relevant files and records such as quotations logbook, pricing file, etc.,
- Answers all questions from the client and refers all negotiations to the Manager or to the sales team,
- Handles client follow-up calls;
Accountabilities:
Follow-up of orders from the reception to the expedition (30%):
Tasks:
- At order receipt, checks the conditions and conformity with the offer (if applicable) before entering the data in the IT system and sends the official purchase order to the centre of excellence,
- Discusses all discrepancies with the client in collaboration the Manager, sales team or centre of excellence,
- Liaises with the centre of excellence and the client to follow up on the approbation process of the plans if applicable,
- Checks acknowledgements of order for conformity with the PO and identifies approximate final delivery date to the customer based on the acknowledgement,
- Handles all order modifications from the client,
- Follows the orders in process, takes corrective actions if required and keeps the client informed,
- Handles claims and transmit them to the Quality department of the centre of excellence,
- Collects information in case of non-payment, informs the Manager and sales team, and take appropriate contacts if needed
Accountabilities:
Organization of expeditions (20%):
Tasks:
- Receives all shipment notifications from European TDW offices & transportation requests for incoming & outgoing equipments and products and verifies that all included information is completed and correct,
- Checks the order scope for shipments from Europe before organizing delivery to Eurasia,
- Contacts the potential partners, compares the offers (cost and deadline), handles the negotiations and selects the partners depending on the destination and based on the packing list,
- Makes the transportation request and organizes the shipment from/to Europe and inside Eurasia,
- Proactively organizes shipments inside Eurasia based on current & future projects of the Services department,
- Prepares all shipping documents and handles all customs formalities,
- Follows the shipments and sends a claim in case of problem,
- Makes copies of the invoices and sends them to the Accounting department,
- Answers the costing requests from the Sales department,
- Records carriers/transportation companies’ performance and costs, and ensures appropriate filing.
Others:
- Reports to the Commercial and Operations Department,
- Liaises with the Workshop/Warehouse and the team members to exchange information and organize expeditions,
- Liaises with the different services of the centers of excellence for HT&P products (Inside Sales, Traffic, Quality and Accounting) as well as with the sales team to exchange information and coordinate the processes of quotation and order,
- Develops good relationships with the customers in the assigned territories,
- Negotiates with the carriers/transportation companies.
- Makes sure all information is communicated internally and to the customers to ensure customer satisfaction,
- Finds and suggests solutions to the clients in case of problems,
- Answers internal requests while maximizing the ration price-quality and respecting internal procedures and anticipates as much as possible to accelerate the process.
Knowledge, skills & abilities required
- Commercial and/or engineering degree or equivalent by experience,
- Good commercial and interpersonal skills,
- Fluent in Russian and English,
- IT literate,
- Strong organization skills and rigor,
- Stress resistant, multitasking and solution minded.
