Boehringer Ingelheim is currently looking for Administrative specialist to join our team.
The person will be responsible for:
- Administrative and operational support of 2 departments;
- Creation of shopping cards upon the request of the employees including communication with the suppliers and purchasing department;
- Processing of invoices for departments in the system including communication with suppliers (payment dates, billing errors, etc.);
- Dispatch of acts of reconciliation to the suppliers;
- Prepare the accruals for departments;
- Travel-support of business partners (issuing invitations, booking hotels, preparing conference rooms, transfers, agenda);
- Administrative and operational support for departments staff employees: assistance in organizing internal events and meetings of the department including appointment of meetings in the outlook calendar, keeping records of meetings, working with the event organizing agency, registration at conferences, trainings including taxi ordering upon request, translation of texts by suppliers, courier request, etc.);
- Preparation, signing and sending to the supplier one-time contracts via simplified procedure at the request of the contract managers;
- Submission and tracking of applications for the creation and signing of contracts under contractual procedure at the request;
- Business travel support for department managers;
- Preparation of advance reports for department managers;
- Back up support within Administrative department.
The successful candidate should have: - Higher education;
- Work experience at least 2-3 years in administrative function (in large multinational company preferably);
- Intermediate level of English;
- Intensive experience in working with PC software;
- Good document workflow process understanding;
- Organization skills are required to perform administration work within assigned area;
- Ability to manage multiple priorities and support multiple administrative functions;
- Ability to communicate effectively both verbally and in writing ensuring communications are clear and understood by recipients;
- Attentiveness to details;
- Ability to work with high volume of information.
