Position Summary:
Office: Based Moscow
Position: Site Services Coordinator
Reporting to: Office Coordinator (Head of Administrative Department)
Responsibilities:
- Ensure excellent standards of office facilities and business services, reinforce a positive, close knit office culture;
- Coordinate and supervise office services (reception, cleaning, coffee ladies, technician, planting services), ensure efficient in-house communication, liaise with other departments to ensure that service level requirements are met;
- Coordinate all in-house events including catering services, meeting rooms set up and after event follow ups;
- Maintain relationships with the landlord to ensure compliance with BCG Safety and Security standard, perform quarterly audit of entry passes (ensure records are kept properly so that they can be easily retrieved for review when needed by relevant personnel);
- Coordinate off site storage operations, ensure on-time furniture delivery and relocation, oversee movers as needed; arrange workplaces for new employees (furniture, plants, accessories, lockers and parking slots assignment etc.) in accordance with BCG standards;
- Liaise with suppliers and service providers within the area of responsibility (catering, stationary, food delivery, courier companies, laundry, flowers delivery etc.) including market analysis, negotiations, service level control, handling complaints;
- On a sporadic basis: back-up Admin specialist on office admin matters;
- Other duties as assigned by the Line Manager.
Requirements:
3+ years experience professional (experience in hospitality industry is an advantage) who is/has:
- Diplomatic even under pressure, strong customer focus (should be able to deal with demanding customers)
- Excellent presentation and communication skills
- Positive attitude and proactive approach
- Target driven team player who should also be able to inspire other team members
- Strong organizational skills
- Strong negotiations skills and perfect knowledge of local vendors within the area of responsibility
- Able to communicate at all levels
- Able to work unsupervised, take initiative, make decisions
- Upper-intermediate English (verbal & written).
- Computer literacy (MS Office)
