Consolidate data/info from colleagues/managers (Weekly schedule, weekly highlight, monthly report etc.).

Maintain necessary data in database and file documents.

Support Division daily work and liaise with internal cross function as required.

Facilitate meeting with external agencies /vendors independently or with colleagues/managers.
-
Support to coordinate with external agencies for service evaluations, contract renewals etc.
-
Support Division budget management and phasing, i.e. create requisition/request for payment.
-
Help HR to manage Division needs, and provide guidance and help.
-
Support the Division for travel schedule, VISA etc., assist to prioritize things and draft itinerary.

Support on language related issues (Draft a letter, Edit report, Translate).

Support any ad hoc requests related to Admin/secretariat.

Assist Office maintenance: plant and flower, key and space, safety and facility, mail & cargo, business cards and other printing services, meeting arrangement.

Manage the stationeries and routine consumables for the office.

Coordinate the ordering of new stationary and consumables for the office.

Update office phone directories and briefing materials for office Manage meeting room logistics.

Provide support to office on fixed assets and facility management Provide other reception and/or admin related support.

Perform other miscellaneous duties as directed by Line Manager.

Associate degree or above, bachelor’s degree preferred.

Three (3) years of clerical experience.

Attention to detail, strong communication skill, relationship building, and service minded.

Proficiency in MS office applications (Outlook, Word, Excel, PowerPoint).

Can carry out multi-tasks & deliver on time.

Sensitive on data, well in analysis will be a plus.

Flexibility to be able to work in other functional area is preferred.
