We at The Luck Factory , an online gambling company, are looking for a Personal Assistant for our Shareholder.
Responsibilities
The Executive Assistant will be involved in daily tasks of the Shareholder and all requests have to be administered, managed, and completed within the timeline required and to exemplary standards.
Responsibilities will include but not be limited to:
? Attend Senior management meetings , negotiate with partners, take minutes.
? Manage Shareholder’s calendar and set up meetings, carry extensive and efficient email correspondence.
? Deal with Shareholder personal matters including holidays, flights, banking, family, housing and other private matters.
? Handle confidential matters with discretion.
? Assist Shareholder remotely on day-to-day tasks.
? Screen telephone calls, enquiries and requests, and handle them when appropriate.
? Liaise with clients, suppliers, advisors, shareholders, intercompany directors and other staff.
? Organise and attend meetings, arrange business trips (including flights and accommodations), ensure the Shareholder is well-prepared for meetings/business trips, prepare meeting agendas,organise company events.
? Design and produce documents, briefing papers, reports, and presentations.
? Devise and maintain office systems, including data management, filing, etc.
? Process Shareholder business expenses and other administrative items.
? Carry out specific projects, research and administration as required by the Shareholder.
? Present and maintain final financial documentation, management accounts, budget and other special financial reports as may be required by the Shareholder from time to time.
? Conduct research on items/companies/competitors/etc as requested by the Shareholder.
Requirements:
? 3-5 years of work experience as an Executive Assistant, Personal Assistant or similar role in highly intensive environment and under pressure;
? Able to communicate (written and verbal) effectively and clearly in a multicultural environment. Languages: English and Russian is Must have(French language seen as a plus);
? Outstanding organisational and time management skills;
? Discretion and confidentiality, excellent knowledge of office products;
? The ability to work under pressure and to tight deadlines;
? High problem solving skills;
? Excellent organisational and time management skills the ability to research, digest, analyse and present material clearly and concisely excellent interpersonal skills;
? Must be able to work on your own initiative;
? Honesty and reliability;
? An eye to attention and detail;
? Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines;
? Discretion and an understanding of confidentiality issues;
? Readiness to be contacted out of office hours;
? Knowledge of Trello or other Project management tool would be preferable;
? The ability to travel from time to time (no longer than 6 month);
? Experience in IT industry would be preferable;
