General Description:
The Administrative Assistant - Medical Records provides complex administrative support for the Human Resources and Admissions departments, related to student and staff records. Hours may vary according to a pre-approved schedule, depending upon events and activities. The Administrative Assistant must be able to access the internet remotely. (S)he maintains the highest levels of confidentiality and establishes professional relationships with staff, students and other AAS Community members. Communicates effectively with proficiency in English and Russian. The Administrative Assistant should embrace the AAS Mission, Vision, Core Values. Promotes the school and the services provided by the school in all words, actions and behaviors.
Reports to (directly): Director of Human Resources and Admissions
Qualifications and Requirements:

Speak, read and write in English and Russian fluently, according to the CREF standards, C1 or a C2 level, as determined by the external AAS testing provider.

Minimum three years office experience
-
Legally residing and able to work in Russia
-
Graduation from college/university
-
Four or more years of previous full-time work experience
-
Must be eligible to receive a security clearance certification (provided by AAS)
Preferred Qualifications:
-
2 or more years prior experience in a medical clinic, working with medical records
-
Experience in customer service and/or working in an international organization/environment
-
Russian and/or other language skills
Knowledge, Skills and Abilities:

Accurate data entry skills in both English and Russian

Excellent interpersonal and communication skills

Ability to work independently and meet deadlines

Advanced technology skills and experience utilizing a variety of technology applications and tools, including experience with MS Office, GSuite

Ability to operate office equipment (i.e. photocopiers, scanners, multi-line phone system, and smartphones)

A positive approach towards working with students, the AAS community and the public in general. Appreciates and understands different types of diversity.

A capacity for constant activity, either routine or special projects; multi-tasking skills (frequent interruptions are the norm)

Core Duties:
-
Replies to routine internal and external inquiries within the established guidelines (24 hours or less in many cases).
-
Responsible for researching information required to complete a variety of forms and documentation; aware of recent developments and trends, according to established practices and procedures.

Acts as a liaison between HR, Admissions and other school staff and all departments. Communicates and interacts regularly with other AAS departments, and other external organizations.

Records & information management- maintains a variety of confidential and complex records/files/archives (medical records etc.) in Russian and in English languages for the purpose of providing up-to-date reports, complying with all AAS requirements and RF regulatory requirements, keeping them current, organized and accurate.

Assists in the coordination and facilitation of special events, meetings, and activities.

Assists in the tracking supplies and inventory

Utilizes AAS–specific software systems (training provided) in an accurate and efficient manner.

Exercises discretion and judgment on matters which may be confidential in nature

Processes payment requests according to established procedures

Assists with reviewing and updating the department intranet and internet web pages, collating content, preparing medical-related internal publications and updates
-
Responsible for photocopying, scanning, filing, data entry and assisting with routine document management according to established guidelines and timelines

Answers and routes telephone calls, greets visitors, takes messages and assists with correspondence
-
Provides excellent customer service to all internal and external customers and community members
-
Performs other duties as assigned

Overtime hours may be required and will be compensated accordingly
