We are looking for an experienced Business/Personal Assistant who will provide direct support to the co-founders of food tech Startup, US based. Your skills will be needed for both personal and work-related tasks, letting your bosses focus on essential business decisions.
This is an interesting and challenging role that would suit a passionate problem-solver who enjoys using their initiative and has a ‘can do’ working style.
It's a perfect match for you if:
- Your project management and analytical skills and techniques are fine-tuned.
- You were designed to bring order to the chaos. Take different puzzle pieces and organize them into logical business systems, business processes, and tasks? YES, PLEASE!
- You don’t need much guidance and love to take responsibility.
- There is an element of good taste in everything you pick. You do not need to search for the best restaurants in town, you already checked them out and have a list.
- You have a backup plan for everything and remain calm facing difficulties. To absorb the emotions and moods of those around you is not your strategy at all.
Your role:
*Tasks distribution: 70% business / 30% personal*
- Provide day-to-day support on personal tasks from running errands to dealing with the local institutions
- Organize travel support: logistics, planning & booking
- Complete a broad variety of tasks assisting with projects, reports and presentations
- Manage all aspects of CEO’s calendar across internal meetings and external engagement
- Assist with time management: everything is up to date, goals are set correctly and prioritized wisely and everything is planned ahead
- Be responsible for drafting, reviewing and sending communications on behalf of the CEO
- Assist with bookkeeping and tracking bills, making payments, sending invoices
- Conduct and prepare research, from basic requests to hard-to-find stuff
- Take care of the company's social media accounts (reaching out to influencers, negotiating collaborations etc.)
- Manage all aspects of event planning, organizing team meetings and team-building activities for the team
- Help to drive the workflow improvement
How your daily tasks might look like:
- Form a Corporation in Delaware and open Ltd in Moscow. We do know that we need to follow certain steps to make it happen, don’t we? Help your boss not to worry about anything, conduct a research and prepare a step-by-step action plan.
- An amazing opportunity appeared on the horizon! The IG Account of a famous Chicago based food blogger would be a perfect platform to advertise our company. But here's the thing, he doesn’t respond to emails and DM’s. How can we reach out to him to discuss the collab?
- It’s renovation time! Assist your boss with the coordination and help to organize everything from scratch for him to have the best experience of cooking risotto at his new fully equipped kitchen.
- We have quite a tough deadline for a bank account opening in the US. It should be set up in 1 week. Can you do it?
The person who is right for this role is someone who:
- Has 3+ years of Executive Assistant/Personal Assistant experience
- Is fluent in Russian and English (C1) - will be required to write, speak and understand English to conduct day-to-day business
- Is open to working on 24/7 (in case of urgent travel booking, or quickly researching on some niche topic etc.)
- Can communicate and influence stakeholders and team members who are based in different parts of the world
- Is tech-savvy, familiar with Google Suite, Notion & Trello
- Is relentlessly resourceful - no problem is unsolvable
- Is an easy-going person with a good sense of humor and a can-do, encouraging attitude
- Is a proactive, curious, and flexible individual, able to work without significant direction and/or context
