Responsibilities:
- Providing daily administrative support to the General Director (travel and visa support, HR support singing documents);
- Calendar monitoring, coordinating the daily business schedule of General Director,
- Making appointments and arranging travel and accommodation,
- Meetings (internal and external) and events arrangements,
- Preparation of the General Director’s expense reports,
- Arranging translation of various documents upon request,
- Preparing/editing letters, reports, various documents, contracts;
- Communication with different business departments, business reports collection for General Director,
- Preparing reports, presentations and meeting agendas,
- Monitoring and updating the execution of tasks,
- Execution of personal tasks of the General Director;
- Search for necessary information on the Internet;
- Guests greetings (tea/coffee);
- Handling incoming and outgoing telephone calls, e-mail communications, sorting postal;
- Interaction with service-providers: Landlord, Service companies (signing contract, storage of documents, control of payment);
- Organization of postal and courier delivery of documents;
- Update the list of contacts and contracts;
- Organization and control of document storage;
- Сontrol over the quality of the office service and analysis of the cost and conditions: courier, taxi, visa and travel agencies etc.
- Office supply (order furniture, PCs, tea, coffee, stationery, water, etc);
- Interaction with the Finance controller, outracing accounting regarding expenses reports, HR documents related to business trips, vacations;
- Raising purchase orders, expense claims and arranging invoices,
- Coordination of documents flow;
- Coordination of HQ’s representatives visits preparation
- Assisting in team events organization.
Qualifications:
- 3-4 years of relevant experience;
- English: fluent, written and verbal;
- Experienced PC user – Word, Excel, PowerPoint
- Reliable, responsible,
- Stress-resistant, ability to work in a multitasking environment;
- Excellent communication skills, positive and open-minded;
- Problem solver; result-oriented;
- Team worker.
